Introduction
This Privacy Policy describes how Siite Web & Marketing (“Siite”, “we”, “us”, or “our”) collects, uses, discloses and protects your personal information when you visit siite.co, engage us as a customer, or otherwise interact with our services.
We take your privacy seriously. This document is written to be readable, not just legally defensible. If anything is unclear, contact us and we’ll explain.
By using siite.co, you agree to the practices described here. If you do not agree, please do not use the site.
Who we are
Data controller
Siite Web & Marketing Austin, TX, United States Email: contact@siite.co
For privacy questions or data-rights requests, email contact@siite.co with the subject line “Privacy request”.
Scope
This policy covers:
- Visitors to the public siite.co website
- Prospects and leads who fill in a form, book a call, or contact us by email or phone
- Customers and authorised users of services we deliver, including Siite OS
- People whose information is provided to us by our customers in the course of an engagement (for example, a customer’s end-user data we process while building or hosting their website)
It does not cover third-party websites we link to. Those have their own policies.
Information we collect
Information you provide directly
We collect information you give us when you:
- Submit a contact form, audit request, or newsletter sign-up
- Book a call or demo
- Email us, call us, or message us on social platforms
- Sign an engagement contract or invoice
- Use Siite OS or another product we operate for you
This may include: your name, business name, role, email address, phone number, mailing address, billing details, the content of messages you send us, and any other information you choose to share.
Information collected automatically
When you visit siite.co, we (and our hosting provider, analytics provider and ad platforms) automatically collect:
- IP address (often truncated for analytics)
- Approximate location (city / region) derived from IP
- Device, browser, operating system, screen size and language
- Referring URL and the pages you view
- The actions you take on the site (clicks, scroll depth, form submissions)
- Date and time of your visit
We use server-side tracking where possible, which means much of this data is sent from our infrastructure to analytics providers rather than from your browser. This is more private and more accurate than purely client-side tracking.
Information from third parties
We may receive information about you from:
- Ad platforms (Google, Meta, LinkedIn) — aggregated reporting on ad performance
- Public sources — your business website, public business directories, LinkedIn for B2B prospecting
- Service providers — fraud-prevention signals from our payment processor
Cookies and similar technologies
Siite uses cookies and similar technologies (pixels, local storage, server-side identifiers) to operate the site, measure performance and improve our marketing. This section combines what would otherwise be a separate Cookie Policy.
What is a cookie?
A cookie is a small text file a website places on your device. It can store a unique identifier so the site recognises you on a return visit, remember settings (such as your preferred theme), and let third-party services (such as analytics) attribute activity to a session.
Similar technologies include local storage, session storage, web beacons (also called pixels) and server-set identifiers. We treat these the same way for the purpose of this policy.
Categories of cookies we use
| Category | Purpose | Examples |
|---|---|---|
| Strictly necessary | Required for the site to function: routing, security, form submissions. | Session cookies, CSRF tokens. |
| Functional | Remember preferences such as theme, language or dismissed banners. | Theme cookie, consent record. |
| Analytics | Help us understand which pages perform, where visitors come from, what gets read. | Plausible / GA4 measurement, server-side analytics. |
| Marketing | Measure ad effectiveness and (where you have consented) personalise the ads we show. | Google Ads, Meta Pixel, LinkedIn Insight Tag, conversion identifiers. |
We do not use third-party advertising cookies on siite.co unless you have given consent in jurisdictions where consent is required.
Third-party cookies
Some cookies are set by third parties we work with — for example, Google Analytics, Google Ads, Meta and LinkedIn. Each of these has its own privacy policy:
- Google: policies.google.com/privacy
- Meta: facebook.com/privacy/policy
- LinkedIn: linkedin.com/legal/privacy-policy
Managing cookies
You can control cookies in several ways:
- In our consent banner (where shown), accept, reject or customise non-essential cookies.
- In your browser, block or delete cookies via settings. Major browsers also offer “Do Not Track” and Global Privacy Control (GPC) signals — we honour GPC where required by law.
- Opt out of personalised ads at youradchoices.com (US), youronlinechoices.eu (EU), or directly with Google: adssettings.google.com.
If you reject non-essential cookies, the site will still work — some features (such as remembering preferences) may not.
How we use your information
We use your information to:
- Operate, maintain and secure the website and our services
- Respond to enquiries, audit requests and support tickets
- Schedule calls, send proposals and deliver engagements
- Bill you and collect payment
- Send service updates, contract documents and invoices
- Send marketing emails about Siite (only with your consent or where allowed by applicable law) — every marketing email includes an unsubscribe link
- Measure and improve the performance of our site, content and ads
- Detect, prevent and respond to fraud, abuse and security incidents
- Comply with legal obligations and enforce our agreements
We do not sell your personal information. We do not use your information to train AI models that aren’t part of delivering your service.
Legal basis for processing (GDPR / EEA & UK visitors)
If you are in the EEA, UK or another jurisdiction with similar laws, we rely on the following legal bases:
- Contract — to deliver services you’ve engaged us for and to take steps before entering a contract.
- Legitimate interests — to operate and secure our website, understand site performance, prevent fraud, and run direct marketing to existing business contacts in a way that is not overridden by your rights.
- Consent — for non-essential cookies, marketing emails to new contacts, and other processing where the law requires it. You can withdraw consent at any time.
- Legal obligation — to comply with tax, accounting and other laws.
Sharing and disclosure
We share information only as needed:
- Service providers acting on our behalf (hosting, email delivery, analytics, payments, customer support, document signing, project management). These vendors are bound by contract to use your data only for the services they provide to us.
- Ad and analytics platforms (Google, Meta, LinkedIn) — only what’s needed for measurement, and only with consent where required.
- Professional advisors — lawyers, accountants and auditors, under confidentiality.
- In a business transfer — if Siite is involved in a merger, acquisition or asset sale, your information may be transferred. We’ll notify you and any new owner is bound by this policy.
- For legal reasons — to comply with subpoenas, court orders or other legal obligations, or to protect our or others’ rights, safety and property.
A current list of major sub-processors is available on request — email contact@siite.co.
International data transfers
Siite is based in the United States and most of our service providers operate in the US or EU. If we transfer your personal information out of the EEA, UK or Switzerland, we rely on appropriate safeguards such as the EU Standard Contractual Clauses, the UK International Data Transfer Addendum, and (where applicable) the EU–US Data Privacy Framework.
Data retention
We keep personal information only as long as needed for the purposes set out in this policy:
- Prospect enquiries — up to 24 months from last contact, then deleted or anonymised.
- Customer records — for the duration of the engagement plus 7 years for tax and contractual records.
- Website analytics — typically 14 months in identifiable form, then aggregated.
- Marketing email lists — until you unsubscribe; engagement data retained up to 24 months from last open or click.
- Backups — incremental backups are retained on a 35-day rolling window before being overwritten.
When we no longer need your information, we delete it or irreversibly anonymise it.
Your privacy rights
Depending on where you live, you may have the following rights:
- Access — a copy of the personal information we hold about you.
- Rectification — correct inaccurate or incomplete information.
- Deletion — ask us to delete information we no longer have a lawful basis to keep.
- Restriction — limit how we use your information in certain situations.
- Portability — receive your information in a structured, machine-readable format.
- Objection — object to processing based on legitimate interests, including direct marketing.
- Withdraw consent — at any time, where processing is based on consent.
California residents also have the right to know what personal information is sold or shared, request deletion or correction, and not be discriminated against for exercising these rights. Siite does not sell or share personal information for cross-context behavioural advertising as those terms are defined under the CCPA / CPRA.
To exercise any of these rights, email contact@siite.co. We will respond within 30 days (or the period required by your local law) and may need to verify your identity before acting.
If we cannot resolve your concern, you have the right to lodge a complaint with your local data-protection authority.
Security
We use reasonable and appropriate technical and organisational measures to protect personal information, including:
- TLS encryption for all traffic to siite.co and customer-facing applications
- Encrypted backups
- Role-based access control and least-privilege access for our team
- Logging, monitoring and incident response
- Annual review of vendor security and contracts
- Mandatory MFA on internal accounts and a password manager for all credentials
No system is perfectly secure. If you believe your account or information has been compromised, contact us immediately at contact@siite.co.
Children’s privacy
Siite’s website and services are not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we’ll delete it.
Third-party links
The site may link to third-party websites. We are not responsible for their privacy practices. Please review their policies before sharing information with them.
